More Than Simply Photographing a Conference
Large corporate events require much more than a collection of photographs showing speakers standing beside presentation screens. Formal presentations demanded discretion and careful exposure, while outdoor activities introduced movement and changing natural light. Awards required precise timing because important reactions and presentation moments could not simply be recreated afterwards. By the evening, the available light and atmosphere had changed again.
We worked with multiple camera bodies and a range of focal lengths, allowing us to respond quickly as the program changed. This meant moving from a wide photograph establishing the scale of the room to a close speaker portrait, an audience reaction, a candid interaction or a group photograph without repeatedly stopping to change equipment.
For a multi-day conference, this flexibility matters. The photographer needs to respond to what is happening in front of them while still creating enough visual variety for the final gallery to tell a complete story.
Photographing Speakers Without Distracting the Room
Good conference photography should document important moments without becoming a distraction. Presenters and delegates need to remain focused on the session rather than repeatedly noticing a photographer moving through their line of sight.
For formal presentations and professional training, we used longer focal lengths and silent shooting where appropriate, allowing us to work from a comfortable distance while still capturing natural expressions, gestures and interactions. Coverage included speaker portraits, wider room views, audience engagement, reactions, training participation, presentation details and event branding.
Using multiple cameras also allowed us to alternate quickly between wide, medium and tight compositions. The objective was not to return hundreds of similar photographs of presenters standing beside screens, but to show the relationship between the speakers, delegates and wider conference environment.

Capturing the Moments Between Sessions
Some of the strongest photographs from a corporate event happen when nobody is standing on stage. Networking breaks, introductions, laughter, conversations between colleagues and spontaneous congratulations often reveal more about the character of an event than a formal presentation photograph alone.

Rather than concentrating solely on the final posed photograph, we documented the wider sequence around each presentation. This included the approach, the presentation itself, handshakes, reactions, congratulations from colleagues and wider photographs showing the atmosphere surrounding the awards.

The Low-Light Challenge at The Grotto Dinner
The evening dinner at The Grotto created one of the most technically demanding parts of the assignment. Low-light event photography is not simply about adding more flash, because the existing lighting is often an important part of what creates the atmosphere of an evening venue.
Overpowering that ambient light can make an elegant setting appear flat and artificial, while relying on too little light can compromise sharpness, colour and consistency. We therefore worked with a combination of available ambient light, fast lenses and professional flash where required, adjusting the balance according to the subject and surrounding conditions.
This allowed us to photograph groups, conversations, entertainment, candid reactions and the wider dinner environment while retaining the character of the venue. The result needed to look polished without losing the atmosphere guests were actually experiencing.
During a live event there is rarely an opportunity to stop the program while the photographer experiments. Decisions about exposure, focus, movement, lighting and composition therefore need to happen quickly while everything continues around you.
Why Multiple Cameras Made a Difference
Large corporate events rarely wait for the photographer. Something important may be happening on stage while there is an equally valuable reaction in the audience, a formal session may turn immediately into networking, or an award recipient may move across the room before there is time to change lenses.
Using multiple cameras allowed Shamrock Space Studio to react quickly to those changes. Wider focal lengths helped establish the venue and show the scale of the conference, medium compositions worked particularly well for speakers, professional training and networking, while longer focal lengths allowed us to isolate expressions, portraits, award moments and candid interactions without unnecessarily entering people’s personal space.
The advantage was not simply technical convenience. It produced a more varied final gallery and gave the client stronger options for different communications, editorial layouts and marketing applications.

Creating Photography for Horizontal and Vertical Content
Corporate event photography now needs to work across very different platforms. A website banner, LinkedIn post, annual report and Instagram Story do not use the same composition, and relying on aggressive cropping afterwards can weaken otherwise strong images.
Throughout the conference, we deliberately created both horizontal and vertical photographs. Horizontal compositions provided strong options for websites, presentations, reports, LinkedIn, public relations and editorial use, while vertical photographs gave the communications team better material for social media and mobile-first formats.
Planning for those applications while photographing produces stronger results than discovering afterwards that every important moment was captured in exactly the same orientation.
