More than 350 attendees, three days of photography and more than 12 hours of coverage each day.
Photographing the Breast Cancer Trials 45th Annual Scientific Meeting was a major event photography assignment in Cairns, covering scientific presentations, panel discussions, audience participation, networking, research poster sessions, sponsor activity, formal photographs, dinners and evening functions.
Held at the Cairns Convention Centre, the meeting brought together researchers, clinicians and clinical-trials professionals from Australia, New Zealand and overseas.
With international collaboration at the heart of the meeting, the interactions happening away from the stage mattered just as much as many of the scheduled presentations.
Shamrock Space Studio was engaged to photograph the event across all three days. Our role wasn’t simply to record who stood on stage. The photographs needed to show the scale of the meeting, the people attending it, the interactions taking place and the atmosphere surrounding it.
That meant knowing when to concentrate on the stage, when to turn towards the audience, and when a seemingly small moment could tell the story better than the obvious one.

Event Photography for 350+ Attendees in Cairns
Large-scale event photography is rarely about capturing one spectacular photograph. It’s about recognising hundreds of smaller moments and understanding how they fit together.
Across the Cairns Convention Centre, the program moved between scientific presentations, keynote speakers, panel discussions, audience Q&As, networking, sponsor and exhibition activity, poster sessions and formal photographs. Later, our coverage continued into dinners and evening functions.
It’s the kind of photograph that can communicate the size, professionalism and atmosphere of an event in a single frame.
But some of the photographs we value most came from much smaller moments.
Sometimes the Story Isn’t on the Stage
During one scientific session, a delegate stood among the seated audience with a microphone in hand to contribute to the discussion.
At that moment, the stage wasn’t the most interesting part of the room.
The photograph captures the delegate speaking while the surrounding audience remains engaged with the session. It’s a relatively simple frame, but it communicates something another photograph of a presenter behind a lectern couldn’t: this was a meeting built around participation and the exchange of ideas.
That is an important part of how we approach professional event photography.
Of course the scheduled moments matter. Keynote speakers, presentations, panels, important guests and formal groups all need reliable coverage. But the complete story usually exists between those moments too.
With international collaboration central to the meeting, conversations between researchers, discussions around scientific posters and interactions continuing after presentations were not simply filler between the “important” photographs. They were part of what the event was about.
You have to be there for them.
Three Days. More Than 12 Hours Each Day.
Our photography coverage extended across all three days, with more than 12 hours behind the camera each day.
Long event coverage isn’t simply a test of endurance. It requires preparation and sustained concentration.
Throughout each day, we needed to stay across the run sheet, recognise important speakers and moments, remember what had already been photographed, anticipate what was coming next and continue producing visual variety rather than repeating the same images.
Before and throughout the event, we worked with the conference program and run sheet, coordinated with the organisers, identified priority moments and adapted as the schedule developed.
The objective was consistency from beginning to end. A photograph made during an evening function after a full conference day still needed the same care as one captured during the first morning session.
Professional event photography isn’t only about understanding a camera. It’s about understanding how events work.
Beyond Speakers and Presentations
Photographing only the stage would have produced a very incomplete picture of the event.
Between sessions, the Cairns Convention Centre became a different environment. Delegates met colleagues, continued conversations sparked by presentations, interacted with exhibitors and sponsors, and spent time discussing the scientific research displayed throughout the venue.
One photograph from the poster sessions shows attendees standing directly in front of research displays, studying and discussing the work.
Another captures delegates talking naturally within the busy conference environment.
These photographs show something that a sequence of podium images cannot: how people participated in the event.
They also make the final collection considerably more useful to an organiser. Speaker photography might support one communication need, while networking, research, sponsor and candid images may be useful for websites, PR, stakeholder communications, future event promotion and other purposes.
Photographing Sponsors, Exhibitors and the Event Around the Stage
A major professional event involves far more than its formal program.
Sponsor coverage is more valuable when it shows engagement, not just branding. Rather than simply photographing an empty exhibition stand, we look for moments that show how delegates actually interact with sponsors and exhibitors. One frame from the conference captures delegates in conversation across the AstraZeneca and Daiichi-Sankyo exhibition area, with the displays and wider conference environment clearly visible. The photograph records both sponsor presence and the human interaction happening around it.

The other shows people actually engaging within that part of the event.
We also photographed details establishing the identity and location of the meeting, including frames bringing together Breast Cancer Trials, the 45th Annual Scientific Meeting and the Cairns Convention Centre.
These contextual images can be easy to overlook during a busy event, but they become valuable afterwards when an organisation needs photographs that immediately communicate where an event took place and what it represented.
From Scientific Sessions to Evening Events
The visual character of the assignment changed considerably once the daytime program finished.
Scientific presentations and conference lighting gave way to dinner tables, speeches, entertainment and more relaxed interactions.
Our approach needed to change with the environment without making the evening photography feel disconnected from the rest of the event.
Wide photographs established the scale and atmosphere of the formal functions, while closer frames concentrated on people: conversations around tables, expressions during speeches and the natural interactions that emerge after a full conference day.

An event isn’t experienced as a sequence of speakers standing behind lecterns. The presentations, conversations, networking, research, sponsor activity and evening functions all contribute to what attendees remember.
The photography should reflect that.
Then the Plan Changed
No matter how carefully a major event is organised, live programs don’t always follow the original schedule.
During this assignment, the client asked whether we could extend the photography beyond the hours originally arranged and continue coverage at an additional dinner at Cairns Aquarium.
We adjusted our plans and continued working.
It’s a relatively small detail within three long days of photography, but it says something important about how we approach event work.
Programs run late. Requirements change. An organiser may suddenly realise that something outside the original brief also needs to be documented.
When it’s practical for us to help, we’d rather adapt than point to the original schedule.
Event organisers already have enough problems to solve. Our aim is not to become another one.
